What needs attention
Records are stored in an affected workroom. The business needs a plan for both access and confidential records. Who controls the records while the room is assessed and any affected contents are handled?

Records need a handling authority as well as room access
An affected workroom can contain confidential documents whose custody is separate from the building scope. Identify who controls access to those records and what existing inventory is available. Permission to clean the room should not be treated as permission to read, move or dispose of every file inside it.
Plan the record handoff before material work
Ask whether items require specialist evaluation and who authorizes transport or disposal. The business should receive a custody record and the limits of any contents recommendation. If access changes during cleanup, retain consistent instructions so source investigation and building work do not create an undefined responsibility for confidential materials.
Access for the affected space
If rooms were altered at different times, identify the relevant changes and retained materials. A room-by-room description is more useful than a general statement about the property’s age. For the business space, identify the person responsible for staff, customer and delivery access.
