What needs attention
A managed reception room remains in use. A reception room concern needs a plan for the activities that still depend on the space. Which services can be relocated while assessment and cleanup boundaries are agreed?

Reception activity is part of the planning record
Describe the reception functions, adjacent activities and records or furnishings used in the affected room. A concern there can change visitor access without proving that every adjoining space is affected. The operational question is which service must continue elsewhere while the responsible professional assesses the actual material boundary.
Agree relocation rather than assuming normal use
The manager should identify who authorizes temporary movement and any work-area restrictions. If an assessment changes the boundary or access needs, update the reception arrangement accordingly. A preferred appointment time does not establish that the room can remain in use throughout cleanup or that completion has been accepted.
Access for the affected space
If an owner is away, identify an authorized local contact and agree how access, changes and completion records will be approved. A caretaker’s observation and authority to change the property are separate matters. For the business space, identify the person responsible for staff, customer and delivery access.
