What needs attention
A cooling component serves more than one space. A complaint in one room should not automatically become a whole-building duct scope. Which component is actually implicated, and who is responsible for the system sections outside the unit?

Identify the implicated component before extending the scope
A cooling complaint in one room may involve a component serving other spaces, but that arrangement needs confirmation. Ask the recipient to identify inspected surfaces and the evidence for any claimed growth. A room odor or grille mark alone should not be described as demonstrating a whole-building duct condition.
Coordinate beyond the unit only where needed
The proposal should name the management contact for components outside the resident’s authority and state which sections remain unassessed. Material type also matters to a cleaning or replacement decision. Keep shared mechanical access and the localized room finish separate rather than treating both as one unlimited system-cleaning agreement.
Access for the affected space
For a shared building, establish the unit number, management contact and permission for any common component. An individual room stain does not settle responsibility for a shared roof or mechanical system. For the cooling system, identify the actual unit and the person responsible for mechanical access and repair.
